Cenrai LLC ("Cenrai," "we," "us," or "our") operates cenraiai.com. We provide an AI front office for asbestos, lead, mold and demolition contractors: an AI assistant that answers the contractor's phone calls, a private job portal, and, on some plans, follow-up on the contractor's open bids. This policy explains what information we collect, how we use it, who helps us process it, and the choices you have.
It covers three groups of people: callers (people who call a contractor that uses Cenrai), clients (the contractors who use Cenrai, and their staff who log in to the portal), and website visitors (people who visit cenraiai.com or fill in a form there).
1. Information We Collect
- Contact details: name, phone number, email address and job address, given by callers on the phone, or by clients and website visitors in forms and emails.
- Call recordings and transcripts: calls answered by our AI assistant are recorded and transcribed. Every call starts with a notice that the call is recorded and that the caller is speaking with an AI assistant.
- Job details: what the caller tells the assistant about the job (for example the material, its size, the year the building was built, and when they'd like work to start). These become a job record in the contractor's portal.
- Text messages: the content and delivery status of texts we send (see section 2).
- Client account information: portal logins, business details and billing information.
Website analytics. We partner with Microsoft Clarity to capture how you use and interact with our website through behavioral metrics, heatmaps, and session replay, so we can improve our website and services. Website usage data is captured using first- and third-party cookies and other tracking technologies. Text you type into forms on our site is masked and is not recorded. Bid Leak Check. If you use the free Bid Leak Check on our website and ask for your full report, we collect the numbers you enter (such as bids per month, typical job size and win rate) and the first name, business name, email address and phone number you give us. We use them to show and send you your report and to follow up with you about it by email or phone. We don't send you text messages unless you ask us to, and we don't sell this information. We keep it for up to 12 months; to have it deleted sooner, email contact@cenraiai.com.
2. Text Messages (SMS)
Once carrier registration for the sending number is approved, we send text messages only for these purposes:
- Job alerts to the contractor (our client): for example, a notice that a new job came in or that an urgent call needs a callback. These go only to business owners or staff who opted in to receive them.
- Follow-ups on a quote the customer asked for: on plans that include bid follow-up, we may text a contractor's customer about a quote that customer requested, on the contractor's behalf, and only if that customer agreed to receive texts.
We don't use texts to book appointments or to send appointment reminders, and we don't send marketing texts. Message frequency varies.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent are not shared with any third party, except the providers that deliver the messages for us (section 5).
3. How to Opt Out of Texts
To stop receiving text messages at any time, reply STOP to any message you receive from us. You will receive a one-time confirmation and no further messages will be sent to your number.

4. How We Use Your Information
- To answer calls for our clients, record what the caller needs, and pass it to the contractor so they can call back.
- To send the texts described in section 2.
- To run, secure and improve our service. This includes reviewing recordings and transcripts to tune a contractor's assistant and to settle questions about what was said on a call.
- To bill our clients and meet our legal obligations.
We do not sell personal information. We may email businesses about our services, using business contact details; you can opt out any time by replying "stop" or emailing contact@cenraiai.com, and we won't email you about our services again.
5. Who Processes Your Information
We use service providers in these categories. Each processes information only to provide its service to us, under its own terms:
- Voice and phone: runs the AI phone assistant, including answering calls, recording and transcribing them, and the phone numbers.
- Texting: delivers text messages.
- AI: AI model providers that power the "ask about your jobs" assistant inside the client portal.
- Hosting and backups: a cloud host runs each client's portal on its own server and stores encrypted backups.
- Analytics: Microsoft Clarity, for website analytics (section 1).
- Business tools: payment processing for our clients' billing, our email and documents, and the forms on our website.
We may also share information:
- With the contractor you called: they receive the job details and call record of your call.
- When the law requires it: with law enforcement or regulators.
- In a business transfer: if Cenrai is merged or sold, subject to this policy.
About AI training: our voice and phone provider may use call data to improve its service only after removing identifying details and combining it with other data, as its terms describe. We don't use your calls to train AI models of our own.
6. How Long We Keep Information
- Call recordings: kept for 90 days so we can tune the assistant and settle any question about what was said, then deleted.
- Transcripts and job details: kept with the client's account, in the contractor's portal, for as long as the contractor is a client. When a client leaves, we send them an export of their data and delete it from our systems within 30 days.
- Backups: encrypted backup copies are kept for up to 12 months, then deleted.
- Bid Leak Check submissions: up to 12 months (section 1).
- Website analytics: as set by Microsoft Clarity.
- Billing records: as long as tax law requires.
7. Security
Each client's portal runs on its own server, with encrypted connections (HTTPS) and encrypted backups. No method of transmission or storage is 100% secure, so we can't guarantee absolute security.
8. Your Rights
Depending on where you live, you may have the right to access, correct or delete personal information we hold about you. Email contact@cenraiai.com. If you called a contractor that uses Cenrai, we may pass your request to that contractor, because the job record belongs to them.
9. Children
Our service is for businesses. We don't knowingly collect information from children under 13.
10. Changes to This Policy
We may update this policy. We'll post the new version on this page with a new "Last updated" date.
